Shipment document register
A searchable reference structure with document type, owner, revision, review state, source attachment and supersession history; access is limited by role and business need.
GreyBath helps trade and operations teams turn scattered shipment files, booking messages and follow-ups into a controlled workflow, with a visible active document version and an owner for the next action.

01 / What we build
A searchable reference structure with document type, owner, revision, review state, source attachment and supersession history; access is limited by role and business need.
Model requested, acknowledged, confirmed, changed and cancelled states with partner references, required evidence and a defined recipient for each handoff.
Display missing documents, stale responses, conflicting revisions and unassigned actions. Show the last confirmed source time beside a status so old data cannot look live.
City context, honestly stated
New Mangalore Port Authority’s official material establishes the city’s cargo context. The proposed system is an internal coordination tool, not port affiliation, a customs service or a promise of access to authority systems. GreyBath claims no Mangaluru office.
Link source files to the shipment or booking reference, with draft, reviewed, sent and superseded states. Record who changed a file and why rather than relying on names such as final-new-2.
Distinguish a request sent to a partner from an acknowledgement, a confirmed booking and a later amendment. Preserve the source message or reference supporting each transition.
Show missing review, unanswered handoff and conflicting reference queues with owners and escalation times. Operational dates must come from approved sources, not guessed business rules.
02 / Where it fits
The first pilot can cover one shipment type and one handoff between your own team and an authorised partner. It need not replace an ERP, a partner platform or any statutory filing system.
Keep the approved commercial and shipment references aligned when attachments arrive from several people.
Track booking requests, partner acknowledgements, amendments and ownership without describing a request as a completed movement.
Find the relevant revision and review evidence without unrestricted access to every customer or shipment file.
Review blocked handoffs and source freshness rather than aggregating incompatible spreadsheet status labels.
03 / How we work
Use anonymised files and messages to trace reference changes, reviews, booking amendments and the moment a team lost confidence in the status.
Define required fields, owners, transitions and contradictory-data handling. Prototype the document register and exception queue with actual operator tasks.
Run representative records alongside the existing process, compare evidence and resolve exceptions before retiring any manual control.
Scope follows reference quality, document sensitivity, authorised reviewers, partner channels, evidence retention, state transitions and the reliability of any proposed integration. Customs interpretation, statutory filing and physical cargo handling are outside this page’s scope.
Discuss your projectShipment and booking identifiers, document types, revision rules, reviewer permissions, storage boundaries and retention requirements supplied by your owners.
Sender, recipient, acknowledgement evidence, operational dates, amendment rules, escalation and the authorised person who resolves a conflict.
Permitted APIs or imports, partner consent, reconciliation, access logs, backup, error queues and a fallback process when a connection is unavailable.
No. GreyBath provides an agreed software workflow. Your authorised logistics, customs, legal and commercial specialists remain responsible for filings, interpretations, approvals and physical operations.
Only where authorised access, a supported interface and the required agreements exist. We do not assume access, scrape restricted systems or treat a manual status entry as an official confirmation.
A reviewed revision can be protected from silent edits while an authorised amendment creates a new version. The superseded record and the reason for replacement remain traceable.
Only to the extent the approved source supports it. Show the source, last successful update and any delay or conflict. Unknown or stale status should remain explicit.
No. A focused portal or register can be scoped around an existing system, provided references, permissions and reconciliation are clear. A full migration is a separate decision.
The booking changed, but the attachment did not?
